Traceability is the ability to follow a product and its inputs through every stage of production, processing and distribution. For export-oriented agriculture it has become a condition of market access rather than a differentiator.

This article explains the operational foundations, the common failure points, and how traceability connects to certification and buyer assurance.

One step back, one step forward

The working principle of most food traceability regimes is that each actor can identify the immediate source of what they received and the immediate destination of what they dispatched. Chained across the supply chain, this allows a batch to be reconstructed.

The practical requirement is therefore disciplined record-keeping at every handover — not a single central database owned by one party.

Identifiers are the foundation

Traceability fails most often because identifiers are inconsistent: a block named differently in agronomy and in packing, or a lot split without a recorded relationship between parent and child lots.

Fix identifiers first. Software applied to inconsistent identifiers reproduces the inconsistency at greater speed.

  • Define block, harvest lot and pack lot identifiers once, platform-wide.
  • Record lot splits and merges with explicit parent-child links.
  • Keep units and terminology identical across agronomy, packing and export records.

What a credible record contains

A defensible traceability record links origin, harvest date and stage, handling and storage conditions, processing steps, and dispatch. Each entry should carry a time reference and an accountable role.

The test is simple: given a lot number, can the organisation reconstruct the history within the time a buyer or regulator allows?

Certification and market access

Food safety and quality schemes expect documented traceability and periodic verification, often including a mock recall exercise. Organic, fair-trade and similar claims add their own chain-of-custody requirements.

Because certification requirements differ by scheme and market, treat the specific criteria for your target markets as the authoritative reference and confirm them with the relevant certification body.
